Privacy Policy

Big Britches Productions NP | Effective November 3, 2026

This policy covers our website, bigbritches.org; our ticketing pages; the Audition Portal; and the Big Britches phone app. Here is what we collect, who sees it, and how we protect it.

Our website and ticketing

Visiting bigbritches.org: we use Google Analytics to count visits and to see which pages people use. It sets cookies and collects the pages you view, how you found us, your device and browser type, and your approximate location based on your internet address. We use these numbers only to improve the website, and we don't use them to identify you. You can block these cookies in your browser settings, or install Google's opt out add on at tools.google.com/dlpage/gaoptout.

Tickets, donations, volunteering and our email list: all of these run on Ludus, our ticketing service, at bigbritches.ludus.com. When you buy tickets, make a gift, sign up to volunteer or join our email list, Ludus collects your name, contact details and order, and processes your payment. Big Britches can see your orders, gifts and contact details, which we use to run our shows, send receipts and thank you. We never see your full card number. Ludus pages use Google Analytics and the Meta (Facebook) Pixel so we can see which pages and ads lead to ticket sales.

Forms on our website: when you send an advertising request or another form, we receive what you type and use it only to answer you.

Our email list: you can unsubscribe at any time using the link at the bottom of every email.

The Audition Portal and phone app

We ask for personal information so we can cast our shows, run rehearsals and keep everyone safe.

What we collect

Your account: your login email and password. Wix, our website host, handles all logins. Big Britches never sees or stores your password.

Your profile (entered once, used for every audition):

  • Name, pronouns, date of birth, phone and email

  • Theater experience and credits

  • Emergency contact, parent or guardian, and doctor

  • Medical notes, allergies and phobias

  • Interests, voice, instruments and crew skills you choose to share

  • A headshot, if you add one

Each audition: the roles you want, your answers to that show's questions, and your schedule conflicts. Audition staff may add check in times, callback and casting notes.

Messages: announcements, chats, private messages and photos you post, and which announcements you have opened.

The phone app: if you allow notifications, a notification address for your phone so we can alert you to new messages. If you choose a photo or take one, the app uses your camera or photo library only for that photo. If you save a photo, the app adds it to your photo library. The app does not track your location, show ads, or track you across other apps or websites.

Children: a parent or guardian creates each child's profile on the parent's own account and uses the parent's contact information. Children under 13 never have their own login. A parent may give a teen 13 to 17 a limited login for show announcements and the show group chat; teens cannot send or receive private messages.

Who sees it

  • You. Only you can view or change your own profile through your login.

  • Audition staff. Directors, stage managers and other staff we assign for a production. Their access is limited to the people who need it, and we can end it on a set date.

  • Cast and crew of your show. If you are cast or join a production team, your name, role, email and phone appear on that show's contact list, and your messages in show chats are seen by the people in that chat.

  • Your profile credits. When a cast list is announced, a credit line for that show is added to your profile. You can edit or delete it.

Medical, allergy and emergency information is used only for your safety and is seen only by staff.

How long we keep it

  • Show chat messages are deleted 12 months after a show's last performance. Announcements are kept as production records.

  • Your profile stays until you delete your account or ask us to delete it.

Deleting your account

  • In the app: My profile, Delete my account. This deletes your login, your profiles and your children's profiles, your auditions, headshots and phone notification registrations right away.

  • By email: write to info@bigbritches.org and we will delete it for you.

  • If you were in a cast or production team, your name stays on that show's records. Messages you posted stay in their chats and show as "Deleted account".

What you can do

  • Update your profile any time by logging in.

  • Turn off notifications in your phone's Settings.

  • Protect your account with a strong password you do not use elsewhere. Big Britches will never ask for your password by email, text or phone.

We never sell your information

We never sell your information, share it with advertisers, or use it for anything other than our productions and our audience.

Services we use

  • Wix hosts the website, the portal data and logins.

  • Google Analytics counts website visits.

  • Ludus sells tickets and handles donations, volunteer sign ups and our email list.

  • Meta (Facebook) measures our ads on the Ludus ticketing pages.

  • Expo delivers phone notifications. A notification carries the show name and the start of the message.

  • Google hosts rehearsal calendars that staff choose to share with you.

How we protect it

  • Wix encrypts data in transit and in storage and holds independent security certifications (SOC 2 Type 2, ISO 27001).

  • Audition and message records are locked so they cannot be viewed from the public website. Every request is checked so that people reach only their own records and only approved staff reach staff tools.

If something goes wrong

If we learn that your information has been accessed without permission, we will tell you promptly and explain what happened and what we are doing about it.

Changes

If we change this policy, we will update the date at the top, post it on this page and post an announcement in the app.
